Dispute Resolution Policy & Procedure
Please review our Dispute Resolution Policy and Procedure below. This policy outlines how concerns or disputes involving members, participants, parents, guardians, coaches, or volunteers are raised, reviewed, and resolved in a fair, respectful, and confidential manner, in accordance with the Ontario Not-for-Profit Corporations Act (ONCA).
Informal Resolution First
Where possible, concerns should first be raised directly and respectfully with the person involved. Many issues can be resolved quickly through open, honest conversation.
Formal Written Complaint
If the matter cannot be resolved informally, a written complaint may be submitted to the Club by email. The complaint should include a clear description of the concern, relevant dates, and any supporting information.
Review & Investigation
The Board of Directors, or a designated committee, will review the complaint and may gather additional information as needed. All parties will be treated fairly and given an opportunity to share their perspective.
Decision & Notification
Once the review is complete, a written decision will be provided to the parties involved. Decisions are made in accordance with the Club's policies, the Ontario Not-for-Profit Corporations Act (ONCA), and Skate Canada requirements.
Confidentiality & Non-Retaliation
Information shared during a dispute resolution process will be handled confidentially and shared only with those who need to know to resolve the matter. No person will be retaliated against for raising a concern in good faith.
